The Faculty of Humanities, Education and Social Sciences (FHSE) brings together expertise from the humanities, linguistics, cognitive sciences, social and educational sciences. People from across 20 disciplines are working within the Faculty. Along with the disciplinary approach a very ambitious interdisciplinary research culture has been developed.
The faculty’s research and teaching focuses on social, economic, political and educational issues with the common goal of contributing to an inclusive, open and resourceful society. The FHSE offers four Bachelor and 15 Master degrees and a doctoral school providing students with the necessary knowledge and high-qualified skills to succeed in their future career.
Your Role…
In close collaboration with the team in place, the jobholder will be responsible for providing administrative support to the Department of Education and Social Work (DESW) of the Faculty of Humanities, Education and Social Sciences.
The jobholder will support the activities of the department and its members and will be responsible for general administrative and organisational tasks, as follows:
- Provision of services: purchase orders, follow-up and verifying invoices, etc.
- Travel management for academic staff
- General secretarial tasks (phone calls, incoming and outgoing mail, emails, organising meetings/appointments, welcoming visitors, dispatching)
- On-boarding and off-boarding of staff members
- Organisation of various events: conferences, meetings, visits, symposia
- Communication within and outside the department
- Interfacing with central services and the Dean’s Office
- Tracking and monitoring budgets and expenses
- Follow-up of student contracts
- Initiation of (or Assistance with) recruitment processes (new employees, interns etc.)
- Assistance with financial reporting for external funding entities
What we expect from you…
- At least 5 years professional experience in administration
- Excellent knowledge of MS office applications and the use of databases
- Knowledge of SAP and BI is an asset
- Good working knowledge of English and at least one of the other working languages of the University (FR, DE); Knowledge of the third language would be an advantage.
- Good numerical skills and attention to detail
- Excellent communication skills, service oriented, team player
- Professional and collegial, reliable, can do attitude
