With its currently three employees and in-house technical support staff, the Facility Management department ensures trouble-free operations in all systems throughout the institute. We are looking for an organized and communicative person with curiosity and passion for working in a leading research institution with high standards. As the main user of the CAFM software Archibus, you will be responsible for building up and maintaining data in the modules Technical Building Management and Space Management including
- Assignment of maintenance and servicing strategies, taking into account the current legal requirements and with the help of REG-IS (Rules and Regulations Information System)
- Initial entry and updating of maintenance, service and service contracts
- Inspection protocols, building condition report, TÜV certificates, etc.
A person who understands the integration of technical maintenance, building projects, workflows and people into software solutions and can also communicate their interrelationships effectively is the right person to join our dedicated, international team.
The MPI-CBG is focused on research in cell, developmental and systems biology. Our research program necessarily spans multiple scales, from molecular assemblies to organs and organisms. Your range of responsibilities
- By providing CAFM software support, you will be responsible for your own area and be in contact with the various departments
- You will immerse yourself in the technology and variety of service contracts by going on tours, supervising our service companies, and supporting the FM team in the tender process
- As an expert on our CAFM software, you will be the lynchpin for our users (in-house training/workshops; user support, assigning permissions)
- You will support the Head of Facility Management in carrying out diverse tasks in infrastructural facility management (coordination of appointments with external companies, inventory procurement, fleet management).
- In addition, you will relieve our building services department by taking over on-call duty at regular intervals
- Together with our external planning offices, you will coordinate and supervise the awarding of contracts in the area of construction using the e-Procurement tool.
Essential qualifications
- Completed vocational training in office management, facility management, or comparable training
- Practical experience in the use of CAFM software
- Professional experience in a comparable position, ideally in the FM or industrial services
- Good spoken and written English and German language skills
- Strong communication and teamwork as well as reliability and organizational talent
- Confident handling of MS Office applications
Desirable qualifications
- IT affinity
- Service orientation in thought and action, distinct willingness to learn,
- General knowledge of the German Construction Contract Procedures (VOB) and the German Fee Structure for Architects and Engineers (HOAI)
