The Max Planck Institute for Biogeochemistry (MPI-BGC) in Jena is dedicated to interdisciplinary basic research in the field of Earth system sciences with a focus on climate and ecosystems. We are looking for as soon as possible Third-party funding officer (m/f/d) in part-time at 75 per cent, parental leave replacement until 14.07.2025.

Background and position description

We are looking for applicants who have (initial) experience in accounting or controlling following commercial training. Experience with third-party funding is an advantage, but not a requirement. Familiarisation with the specific areas of responsibility is guaranteed. In the future, the post holder will work with scientists, some of whom are international, whose needs he/she will be able to grasp quickly due to good German and English language skills and implement in accordance with relevant legal requirements. The administration service group includes the areas of personnel, accounting, purchasing, incoming and outgoing goods, third-party funds, travel expenses and reception with currently 14 colleagues. The post holder works in a team of 4 clerks.

Your tasks

  • Administrative processing of the initiation, implementation and accounting/auditing of externally funded research collaborations and projects of national and international funding agencies and MPG projects, including the preparation of interim and final reports and the preparation of external audits of the use of funds
  • Administrative coordination of partners in externally funded research consortia or externally funded projects of national and international funding agencies and MPG projects
  • Administrative processing of overarching tasks, including coordination with the Human Resources, Purchasing, Accounting and General Administration departments
  • Advising researchers on administrative issues related to project application, implementation and accounting
  • Supporting the further development of administrative procedures for applying for, implementing and accounting for third-party funding from international and national funding bodies
  • Providing support to other departments in the administration in individual cases as needed or as a substitute

Your profile

  • Successfully completed vocational training as an office administrator or comparable qualifications are required
  • (Initial) professional experience in accounting or controlling as well as knowledge of accounting, grant and tax law is advantageous
  • (Initial) professional experience in the administrative initiation, implementation and accounting of externally funded projects in the field of national and international research funding; knowledge of MPG funding regulations as well as national and international funding bodies is advantageous
  • A good knowledge of written and spoken German and English is advantageous
  • Knowledge of SAP is advantageous
  • Structured, accurate and independent working methods are advantageous
  • The ability to work in a team, strong communication skills, service orientation and intercultural competence are advantageous
