The Role
We have an exciting opportunity for an experienced senior administrator to join our team at the NIHR Innovation Observatory to provide a wide range of support to our colleagues and main stakeholders. The National Institute for Health Care Services (NICE) and the Accelerated Access Collaborative (AAC) and NHS England (NHSE).
The post holder will work closely with the Centre Manager and Management Team to maintain an overview of ongoing projects. Providing support with communications, resource allocation and financial reporting. Supporting the coordination of administrative provision for the Centre.
The Innovation Observatory is a £27M initiative. This is a National Centre funded by the National Institute for Health Care Research, based in Newcastle University. We bring together data scientists, text mining and evidence synthesis experts, and information specialists, to provide an essential service for the NHS and policymakers. Our outputs help them make informed decisions about how healthcare should be provided in the future.
The Innovation Observatory is a partnership between Newcastle University, the National Innovation Centre for Data (NICD), Newcastle Academic Health Partners and the National Innovation Centre for Ageing (NICA).
This post is available fixed term initially for 2 years, with a possibility for extension.

Key Accountabilities
- To provide support and coordination to Principle Investigators, work package leaders and the management team
- To ensure that day to day business is carried out effectively and monitor milestones of all aspects of the programme/project, ensuring work package leaders are fully aware of progression and any delays/issues
- To develop and maintain administrative systems and processes to enable reporting of management information. To assess information needs, collate, analyse and make recommendations to support decision making on the programmes/project to the Management Team
- To take the lead on creating, presenting and interpreting income and expenditure reports to aid the decision making processes in the project team(s), linking in with FMS finance team for training, advice and final reporting/authorisation
- To support coordination of recruitment of staff, and liaise with the Institute on appointments, resignations and contract renewal/redundancies for staff on the Programme
- To maintain oversight of invoices, expense claims etc. on behalf of project staff ensuring all expenditure is against correct budget sub-headings. Early escalation of all financial queries to the Finance team
- To communicate across a network of University and non-academic partners to ensure that effective partnerships are maintained
- To manage website content and ensure compliance with University and statutory guidelines and being aware of the implications of the Data Protection and Freedom of Information legislation
- To organise conferences and other stakeholder engagement events (e.g. Public & Patient Involvement (PPI) events) led by the project/programme team
- To provide or maintain oversight and assure quality of general administrative support

Knowledge, Skills and Experience
- Proven analytical and problem solving capability
- Excellent time management, planning, organisation and project management skills
- Excelling communication skills, able to communicate effectively, both orally and in writing
- Excellent IT skills including the full Microsoft Office package especially Access and Excel
- Able to manipulate and analyse information for management use
- Able to update and interpret financial information and carry out analyses
- Website development skills
- Experience of developing and operationalising administrative systems
- Experience of using and/or developing databases (Access, Excel etc.)
- Experience of budgetary monitoring including use of financial management systems
- Experience of maintain maintaining webpages and/or social media accounts

Qualifications
- Educated to HNC standard or significant equivalent experience in a similar role
