The Role

We have an interesting opportunity for an Administrative Assistant to join our  bequeathal team on a part time basis.

You will be based at our Newcastle-upon-Tyne campus that has fantastic transport links and state of the art facilities. As this is a part time role, your hours will be across Wednesday pm to Friday.

We are looking for someone with skills in:

  • Communication – written, oral and able to demonstrate empathy,
  • IT – Microsoft packages, including Access,
  • Organisation and prioritisation.

To provide administrative support to the Head of Anatomy and Head of the Anatomy Technical Team.

Key Accountabilities

  • To provide the first point of contact for all enquiries regarding the donor body programme for anatomical examination.  Dealing with body donor enquiries, providing information or assistance as required to handle all enquiries professionally and effectively
  • To provide the first point of contact for body acceptance and ensure that the standard operating procedures for body acceptance and body disposal are followed in a timely and efficient manner on behalf of the Head of Anatomy in accordance with the statutory Government legislation and HTA guidelines. This will involve liaising with relatives of the deceased, medical practitioners, university staff, funeral directors, solicitors and others
  • To maintain accurate and up to date information on donor registration databases as well as donor registration
  • To arrange the annual Service of Thanksgiving for those who have donated their bodies for medical study
  • To make arrangements for the removal of bodies from Anatomy and Clinical Skills at the end of the cycle and ensure that the appropriate paperwork is completed so that the donor can be committed and to liaise with the family for the safe return of any personal effects of the donor
  • To provide ad hoc clerical support for the body programme of body acceptances and disposal at the satellite sites as requested by the Head of Anatomy
  • To provide committee support for Anatomy and Clinical Skills Teaching and Technical team meetings
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)

The Person (Essential)

Knowledge, Skills and Experience

  • Working knowledge of relevant systems, equipment, processes and procedures including standard software packages
  • Good written and numerical skills
  • Ability to communicate clearly both orally and in writing and able to tailor content of communication to different audiences
  • Good I.T. skills with proficiency in the use of Microsoft Office products and other software packages, including  databases
  • Familiarity with work priorities and those of colleagues
  • Understanding of relevant policies and procedures, as they affect the role with the ability to apply relevant health and safety and other University policies and procedures
  • Ability to use initiative and judgement to resolve problems independently
  • Excellent interpersonal skills including managing confidential and/or sensitive information with tact and discretion
  • Experience of acting as a secretary in meetings, producing agendas, minutes and following up actions

Qualifications

  • English Language and Mathematics at GCSE Level 4 or equivalent plus work experience in a relevant administrative role orsubstantial relevant work experience in a comparable setting
