Position Overview

The Office of Post Graduate Medical Education in the Cumming School of Medicine is currently seeking a Full-time Regular Assessment & Electives Program Coordinator. 

The Office of Postgraduate Medical Education (PGME) in the Faculty of Medicine at the University of Calgary is accredited by the Royal College of Physicians and Surgeons of Canada (RCPSC) and the College of Family Physicians of Canada (CFPC), and oversees the education and training of 950 medical residents, fellows, international trainees and 274 visiting elective residents in 65 specialty and subspecialty Residency Training Programs in a variety of clinical and academic settings situated in five Calgary hospitals with collaborative relationships in metro and rural settings. Programs vary in length from 2-8 years, have independent curricula and are separately accredited according to RCPSC and CFPC mandated requirements.

The PGME Assessment & Electives Coordinator reports to the Registration/Administration Manager, Postgraduate Medical Education (PGME).

This position works with minimal supervision and acts as the primary resource to PGME Program Administrators for all administrative aspects of residency elective education, solves complex problems that may require applying new perspectives to achieve desired outcomes and exercises sound judgement based on the analysis of multiple sources of information.

Successful completion of projects has a critical impact on the ability of the Office of PGME to meet its objectives.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Responsible for the administration of the Residency Elective Contracts and ensuring all contracts are in compliance with PGME and AHS Medical Education Office residency policies and procedures
  • Responsible for the collection and distribution of resident assessments in collaboration with the RCPSC and ensuring the assessments adhere to the policies and procedures of the RCPSC
  • Key resource for the collection and disbursement of assessments of sponsored visa trainees as required in the Education Contracts PGME and the University have with various countries
  • Responsible for ensuring elective tracking in the PGME database is accurate and up to date and the University system
  • Liaise with AHS to ensure workplace requirements are being met by incoming electives
  • Coordinates the collection of the rotation reports (used for funding calculations) from the 65 resident programs ensuring data collected is accurate
  • Coordinates all aspects of the Resident Elective contracts ensuring work permit and licensing requirements are met
  • Provides leadership to the Residency Training Program Administrators in the University and Alberta Health Services by interpreting guideline, policies and procedures set by the RCPSC and CFPC, the College of Physicians and Surgeons of Alberta, Cumming School of Medicine and the University of Calgary and PGME and advising of context and implications
  • Develops and implements communication strategies to ensure that programs are kept up to date with changes to or development of policies and procedures impacting incoming electives
  • Coordinates all elective aspects of SharePoint, One45 and the PGME website and acts as the local support expert
  • Oversees development and maintenance of user guides and learning manuals for PGME online elective resources
  • Coordinates all communications with International Medical Graduates and ensures elective applications meet the minimum requirements of PGME
  • Provides accurate and timely data and information to the Associate Dean, Registration & Administration Manager of PGME, Residency Training Programs and National Agencies

Qualifications / Requirements:

  • A minimum of five years related experience in a medical education or equivalent university environment with strong, administrative and organizational skills
  • Completion of a University degree is considered an asset
  • Excellent knowledge of educational institutions, hospital/clinical settings, and Canadian postgraduate medical education policies and procedures
  • Excellent knowledge of database management
  • Excellent knowledge of the University Student Information System
  • Excellent working knowledge of Microsoft Office Applications (Word, Excel, Access, PowerPoint), University supported Web-browsers, SharePoint, One45 and Adobe publisher
  • Strong attention to detail and ability to work independently and set priorities in a complex environment
  • Must possess above-average interpersonal and communication skills and must demonstrate effective writing skills
  • Expert ability to multi-task and coordinate large volumes of documentation
  • High degree of professional conduct in dealing with confidential and sensitive issues
  • Need for flexibility to deal with changing demands and deadlines
