Position Overview
The Department of Production Animal Health in the Cumming School of Medicine invites applications for an One Health Administrative Assistant. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.
Reporting to the Managers of the AMR-One Health – Consortium (AMR – OHC) and OH@UC One Health at UCalgary in the Faculty of Veterinary Medicine (UCVM), this position provides professional administrative support for OH@UCOH@UC and the AMR One Health Consortium.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
- Developing, coordinating, and carrying out administrative activities on behalf of the Management Team
- Manage shared email accounts
- Supporting the Manager of the AMR – OHC in the collection and organization of information pertaining to funding reports
- Manages, plans, designs & coordinates activities and events
- Set up meetings and respond to applicant inquires for current and closed job competitions
- Determines priorities with input from the Director and Management Team
- Deals with complex team and related issues
- Under limited supervision, responsible for performing a range of administrative tasks in support of the OH@UC objectives
- Ensure good communication and act as liaison between key stakeholders of the OH@UC and AMR – OHC
- Assists in seeking grant and funding opportunities
- Assist with marketing, communications and public relations
- Facilitate invoice payment through eProcurement, processing and tracking of project funds and coordinate financial aspects
- Set-up and manage a document filing system
- Manage schedules, book appointments and occasional travel and assist in the coordination of multi-site group meetings (including catering, teleconference and videoconference set-ups) and the preparation of meeting materials
Qualifications / Requirements:
- Post-secondary education and/or a combination of related experience and training in Business Administration
- Minimum 3 years of demonstrated experience in an administrative role in a collaborative academic research environment
- Well developed knowledge and expertise in administration in a research setting, particularly with investigators and trainees (masters and doctoral students, postdocs)
- Experience University of Calgary policies and procedures, development of forms, development of databases an asset
- Experience with organization of academic workshops, conferences, and other events is an asset
- Experience with coordination of an educational program is an asset
- Excellent attention to detail, communication skills, organizational skills, problem solving skills, and interpersonal skills required
- High level of flexibility and ability to adapt to changing workloads and priorities
- Resourceful, innovative, creative, strategic
- A fast learner, able to work independently with appropriate instruction and minimal supervision
- Makes decisions, problem selves independently, with input from the Management Team when required
- Ability to receive direction, collaborate with others in setting goals, and work effectively in teams to achieve agreed upon goals
- Ability to plan, problem-solve, and organize multiple tasks and priorities
- Excellent people skills
