Position Overview
The Office of Postgraduate Medical Education in the Cumming School of Medicine is currently seeking a Full-time Regular Manager, Office of Resident Affairs & Physician Wellness.
The Office of Postgraduate Medical Education (PGME), Cumming School of Medicine, is accredited by the Royal College of Physicians and Surgeons (RCPSC) and the College of Family Physicians of Canada (CFPC). It oversees the education and training of 1250+ medical residents, fellows, international trainees, and visiting elective residents in 65 specialty and subspecialty residency programs in a variety of clinical and academic settings situated in five Calgary hospitals with collaborative relationships in metro and rural settings. Residency training programs vary in length from two to eight years, have independent education curricula, and are separately accredited according to the Royal College and College of Family Medicine mandated requirements.
This position reports to the Director of the Office of Resident Affairs and Physician Wellbeing. The Office is responsible for addressing the physical, psychological, and spiritual wellbeing of the PGME learners. The Office provides vital resources to trainees and works collaboratively with College of Physicians and Surgeons of Alberta (CPSA) and the Physician and Family Support Program (PFSP) on many issues.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
- Strategic Planning and Leadership
- Scans local and national activity related to postsecondary education and physician wellness development in order to inform and adjust strategy
- Sets and adapts plans and priorities to address resource and operational challenges
- Sets and adapts plans and priorities to address equity, diversity, inclusion, and justice needs
- Maintains familiarity with existing and new policies and procedures for CSM, UCalgary, AHS/AMHSP, and other relevant organizations and adjusts strategy and practice to align
- Provides guidance internally and externally on policy, procedure, and best practices relevant to faculty development and performance reporting
- Pursues grant opportunities where possible to support wellness initiatives
- Seeks out opportunities for collaboration with other units, develops and implements new partnered initiatives
- Implements and oversees quality assurance and improvement practices for wellness operations
- Development and implementation of the Office budget and stewardship over various priorities
- Accountable for the accuracy and integrity of all transactions and initiatives undertaken by the Office
- Participates as an active member of the PGME Management Team to develop departmental goals
- Participates in ad hoc reporting and analysis to senior leadership
- Contributes to Alberta Health reporting regarding the key performance indicators and activities of the Office and maintains the database to track this data
- Teaching and Learning
- Facilitating courses and development workshops for PGME residents and fellows related to wellness
- Developing courses/workshops and educational resources for residency training programs
- Reviewing new eLearning technologies and resources
- Conducting environmental scans and literature reviews to support the development of new resources and courses
- Collaborating with subject-matter experts to develop new courses, workshops, and resources
- Networking and Negotiation
- High level of communication, collaboration and leadership required
- Responsible for building and maintaining effective working relationships
- Advises staff on issues that could potentially pose a conflict of interest
- Participate in the planning, implementation and management of new strategic initiatives and programs that foster change in areas such as student wellness and EDI
- Liaise with other CSM and main campus wellness, medical institutions across Canada to create consistency for postgraduate trainees
- Staff Management
- Responsible for the full scope of human resource management for direct reports
- Proactively determines staffing needs for the Office of Resident Affairs and Physicians Wellness
- Responsible for hiring/terminating/performance management, up to and including terminations
- Overall responsibility for performance management which includes evaluations, ongoing performance management, discipline up to including termination, including on-boarding and orientation of new staff
- Updates and creates job profiles as needed
- Liaises with HR Services in the management of staff attendance, sick leave, workplace accommodations, conflict, and other personnel matters
- Responsible for arranging required training for staff and development
- Motivate and support staff to improve existing processes or develop new processes to maximize quality and efficiency
- Adapt and develop processes to address equity, diversity, inclusion, and justice issues within human resources portfolio
Qualifications / Requirements:
- Bachelor Degree required
- Master’s in Education, or equivalent is preferred
- 5 years or more of work experience in postsecondary environment ideally in faculty support role and/or medical education
- Management/leadership and program planning experience in a student/physician wellness office environment an asset
- A combination of education and experience may be considered
- Experience managing/supervising in a unionized environment an asset
- Previous experience supervising and leading a team is required
- Demonstrated leadership experience in education and/or healthcare environments
- Proven capacity to facilitate courses and workshops for professionals
- Proven capacity to supervise the work of others, including technical and administrative staff
- Expertise in incorporating equity, diversity, inclusion, and justice practices into teaching and learning practices
- Proven capacity to develop and adapt processes to meet equity, diversity, inclusion, and justice goals.
- Strong financial management, planning and resource allocation skills
- Strong written and oral presentation skills
- Strong critical thinking, judgement, and decision-making skills
- Strong interpersonal, negotiation, and organizational skills
- Ability to handle organizational, administrative, and fiscal responsibilities with a solid understanding of University structure and operations
