Position Overview

Residence Services within Ancillary Services is currently seeking a Full-time Regular Operations Coordinator, Housing Services.

Reporting to the Manager, Housing Services, the Operations Coordinator works closely with the Housing Services Coordinator to coordinate all aspects of housing for non-students including summer conference and short-term group accommodations in residence buildings. The Operations Coordinator will provide leadership and direction for up to 10-15 student staff and volunteers during move-in and summer conference housing. 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assist in the implementation and coordination of all aspects of the residence admissions and assignments processes for approximately 2,800 beds in single student housing and 250 townhomes in family housing.
  • Provide in-scope supervision for approximately 10-15 part time employees, while being responsible for their recruitment, training and scheduling.
  • Liaise with central IT regarding reznet Wi-Fi support in residence and troubleshooting SAM electronic key access management system.
  • Prioritize administrative tasks based on peaks and valleys in Residence Services.
  • Work on various department and campus committees representing Residence Services such as UCalgary Strong Festival planning committee, and VP Finance Engagement Sub Committee etc.
  • Work collaboratively with peers in Housing Services, Campus Service Centre, Business Office, and Residence Education Team. Examples include presenting at Fall Community Advisor training, available to answer questions for the Campus Service Centre regarding self-isolation housing, reznet support, SAM electronic access system support, assist with eviction process, and working on assessment initiatives in residence.

Qualifications / Requirements:

  • An undergraduate degree is required; University degree with a focus on business administration would be an asset
  • Three years of progressive professional experience working in the field of residence life, student affairs, including supervisory and/or mentoring experience
  • Experience working within the confines of institutional policies, procedures and requirement in addition to legislative requirements such as the Freedom of Information and Protection of Privacy Act (FOIP Act) is required
  • Strong sense of professionalism and ability to effectively and professionally communicate with individuals at all levels of the University (Students, Staff, Management, Senior Administration) including the ability to handle sensitive and confidential materials appropriately
  • Experience working with housing/hospitality management database (StarRez, HMS) is required
  • Previous experience in the customer service industry and a sound knowledge of the university campus, specifically Residence Services, available facilities and surrounding area is strongly preferred
  • Professionalism, patience, flexibility, telephone and service etiquette skills are essential
  • Possess problem solving skills that will ensure customer satisfaction balanced with departmental success
  • Working knowledge of Microsoft Word, Internet applications and Excel is a necessity
  • Need to demonstrate the ability to lead and direct others
  • Knowledge of the university environment, procedures and policies
  • Experience living or working in a residence environment
  • Strong and effective communication, both written and oral is required
  • Ability to demonstrate excellence in documentation management (including electronic documents)
  • Ability to work independently and under pressure to meet strict and multiple timelines
  • Ability to effectively prioritize and successfully perform duties autonomously
